Who was I supposed to reply to?\n\nThat is why you need a tracker.\n\nNot because tracking makes the search look impressive. Not because you need a complicated system. You need a tracker because missed follow-ups and forgotten conversations can cost you opportunities.\n\n---\n\n# What a Tracker Needs to Do\n\nA good tracker answers three questions:\n\n1. Where have I applied?\n2. What is the current status?\n3. What do I need to do next?\n\nThat is it.\n\nMost candidates do not need a complex tool. A simple spreadsheet is enough for most searches because it is flexible, easy to update, and easy to scan.\n\nThe common mistake is building something too elaborate. If updating the tracker feels like work, you will stop using it. The best tracker is the one you can keep current in two minutes.\n\nUse it for two things:\n\n- **Daily action:** What needs attention today?\n- **Weekly review:** Is the search moving, or am I stuck in the same stage everywhere?\n\nThis keeps the tracker practical. It is not a diary. It is not a dashboard for its own sake. The loop keeps the search moving instead of letting it drift.\n\n---\n\n# How Many Applications Should Be Active?\n\nThere is no single right number.\n\nIf you are working full time, you may only be able to manage 5 to 8 active opportunities well. If you are searching full time, you might manage 10 to 15. If you have several interviews in progress, you may need to slow down new applications for a week.\n\nThe point is not to hit an exact count. The point is to avoid two problems:\n\n- Too few active opportunities, where one rejection makes the whole search feel stalled.\n- Too many active opportunities, where you stop tailoring, miss follow-ups, and forget details.\n\nFor many people, roughly 8 to 12 active opportunities is a reasonable starting range. Adjust based on your time, energy, and interview load.\n\n---\n\n# Tools You Can Use\n\nA spreadsheet is enough. Google Sheets, Excel, Notion, Airtable, or a simple notes table can all work.\n\nDedicated job-search tools can help if you like reminders, browser extensions, or a board view. Tools such as Simplify and Huntr offer job tracking features. They can be useful, but they are optional.\n\nThe tool matters less than the habit. If a tool makes you update the tracker consistently, use it. If it adds friction, use a spreadsheet.\n\n---\n\n# When to Close an Application\n\nLeaving everything open makes the search feel heavier than it needs to be.\n\nA practical rule:\n\n- If you were rejected, mark it rejected.\n- If the role disappeared, mark it closed.\n- If you followed up once or twice and heard nothing after two to three weeks, mark it closed.\n- If a recruiter replies later, you can reopen it.\n\nClosing an application is not a statement about your worth.
